Among the not so amusing things about having your own business is that there will unavoidably be complaints by customers. As long as you learn how to handle them promptly and intelligently, they should pose no problem to you.You will find a lot of times that customers who pay you a very low price and still want to complain if things aren't exactly as they want them. It is not possible to run a business and make everybody happy. Here are some tips to help you deal with customer complaints.
Never be rude or disregard their complaints as if they don't matter. Even if your customer might seem naive or even insult you, it is never a good idea to treat them badly. You need to treat customer complaints seriously, and no matter how difficult it is always take 100% of the fault until you can satisfy them. You need to remember that if you have one unhappy customer, they will unavoidably repeat that to others that could hurt your business.
whenever other people hear that you are not offering good service, they will not care to listen your side of the story because their friend has already told them their side. Never let complaints frighten you as they give you an opportunity to learn from any mistakes made and make things correct before you make them again with the next customer.
When taking care of a customer complaint, be sure to write a letter of apology and let them know that you are sorry things did not work out to their satisfaction, and that you will set things right. Also let them know that you appreciate them for pointing the problem out to you, so that you can fix it for future business.
If it is at all possible, offer them some small compensation package in order to make things right. By offering your customers something extra for no added cost, and fixing whatever the problem was with the product they did receive, you will decrease the chance for them asking for a total refund. Many customers that have complaints that are taking care of swiftly, could become lifetime customers.
